Terms & Conditions of Online Entry

  2. Your Personal Information
    1. To process race entry, Race-Calendar.com will take and store personal details, which will be passed to the relevant race organiser in order for that entity to provide you with a running event service.
    2. By entering an event through Race-Calendar.com’s inherent race entry system, you agree to your personal information being used in this way.

  3. Payment for Entries
    1. Race-Calendar collects payment for online race entries on behalf of event organisers.
    2. No sums paid to Race-Calendar.com shall be treated as paid until after the funds have cleared.
    3. Race-Calendar.com charges a processing fee for race entry services, which is pre-agreed with event organisers prior to provision of race entry services (“Processing Fee”).
    4. VAT at the applicable UK rate is charged on this service fee by Race-Calendar.com.
    5. A transaction fee, which covers the charges stemming from card issuers for online transactions will also be included in the final charge (“Transaction Fee”)
  4. Refunds & Cancellations
    1. Payment for race entry services is non-refundable, and race entries are non transferable.
    2. The law allows you to cancel an online purchase up to seven days following the date of purchase, providing the event for which payment has been made has not already taken place. This period is also known as a “cooling off” period, and lasts for seven (7) days following purchase.
    3. Race entry may be cancelled during the cooling off period, however, the Processing Fee and Transaction Fee, having already been provided to the event participant at the time of payment, do not qualify for this refund.
    4. To claim a refund during the cooling off period, a Notice of Cancellation must be issued in writing to the Race-Calendar.com office within seven (7) days of purchase.
    5. This Notice of Cancellation must contain the event participant’s full information, as held by Race-Calendar.com, as well as the name, address and bank details of the person to whom entry fees should be refunded.
    6. Upon receipt of a valid Notice of Cancellation, Race-Calendar.com shall, within 30 days, notify the event organiser of the cancellation, and refund all entry fees to the participant.
  5. Refunds for Non-Events
    1. Occasionally, it may be necessary for event organisers to cancel or postpone events for reasons of safety.
    2. In the event of an event cancellation or postponement, the event organiser must provide the race entrant with either:
      1. A full refund of all entry fees and processing fees; or
      2. Adequate notice of a new event date, for which the participant is already registered.
        1. For the purposes of this agreement, it is taken that the notification of an amended event date constitutes the creation of a new contract between the event organiser and the event participant, and therefore a seven (7) day cooling off period begins at the time of this notification, following which the event participant is legally entitled to request a full refund of entry fees.
        2. Any such refund should be requested by sending a valid Notice of Cancellation to Race-Calendar.com’s registered office, in the manner described above.
        3. Any Processing Fee, and Transaction Fee, being for events which have already taken place, do not qualify for a refund.
  6. Contract
    1. Race-Calendar.com enters into an agreement with event organisers to:
      1. Collect money on their behalf, as an agent, through the Race-Calendar.com website;
      2. Promote and provide information services relating to the event in question;
      3. Send race entry fees, minus any Transaction Fees and Processing Fees (as agreed with the event organiser) at pre-agreed dates;
      4. Collect race participant data and provide this to event organisers through the Race-Calendar.com website, or another pre-agreed delivery channel.
    2. The Processing Fee, collected by Race-Calendar.com at the time of transaction, is a charge issued to the event organiser to provide online race entry services.
    3. The Transaction Fee, collected by Race-Calendar.com at the time of transaction, is a charge issued to the event organiser to in respect of payment processing costs incurred by Race-Calendar.com on their behalf.
    4. Event organisers are liable for chargebacks issued by event participants.
    5. Race-Calendar.com collects fees as agents of event organisers; there exists no contract between the event participant and Race-Calendar.com.
    6. By entering a race through Race-Calendar.com, participants are entering into a legally binding contract with the organiser of that event.
